Privacy Policy
What Storypole PRO collects, why, who helps us run it, and what you can ask us to do. Plainly: your data and your customers' data are yours, we do not sell anything about anyone, and we do not use your content to train AI.

This policy is part of the Terms of Service. It covers our subscribers and their users, the people subscribers invite or send things to through the service (customers, subcontractors, suppliers, designers), and visitors to storypolepro.com.
1. What we collect
From subscribers and their users
- Account details: name, work email, company, phone number, role, and the users you invite.
- What you put in: rate cards, plans and measurements, estimates, bids, proposals, jobs, schedules, daily logs, photos, documents, budgets, purchase orders, receipts, invoices, leads, contacts, selections, change orders, RFIs, submittals and messages.
- Time and location: when a user clocks in or out on the phone app, the time and the device's location at that moment (with the device's permission), so you can see where time was recorded. We do not track location at any other time.
- Billing: your plan and billing history. Card numbers go straight to Stripe and never touch our servers; Stripe gives us the card type, last four digits and expiry.
- Service logs: sign-ins, features used, errors, IP addresses and basic browser and device details. These keep the service secure and working.
About people subscribers work with
Subscribers enter, or their customers, subs and suppliers provide through links we send for them: names, company, email, phone, project addresses, signatures (with date, time and IP address), selections and approvals, uploaded documents such as insurance certificates and lien waivers, messages, and payment details handled by Stripe. For this information the subscriber decides what is collected and why; we process it on the subscriber's behalf. If you are one of those people, the subscriber is your first point of contact, and we will help them answer you.
From website visitors
Requests to our site are logged (IP address, browser, page) for security. We do not use advertising cookies or third-party ad trackers. The app stores your sign-in session and, on the phone app, work waiting to be sent while there is no signal, on your own device.
2. Why we use it
- To provide the service: run your account, store and show your work, send the documents, emails and texts you ask us to send, take payments you ask us to take, and keep your connected software in step.
- To secure the service, prevent fraud and abuse, and enforce one free trial per company.
- To support you, tell you about your account, billing and changes to the service, and improve the service using usage patterns (not the content of your jobs).
- To meet legal, tax and accounting obligations.
We do not sell personal information, we do not share it for cross-context behavioural advertising, and we do not use your content to train AI models.
3. Who helps us run it
We use these vendors (“sub-processors”), each only for the purpose shown and under contracts that require them to protect the data:

If you connect them, we exchange data with Intuit QuickBooks, Xero, Gusto, Zapier or an AI assistant on your instruction; each handles that data under its own policy. If your customer chooses a financing offer, they leave our site for the lender's, and the lender's policy applies. We may disclose information if the law requires it, to protect rights and safety, or to a successor in a sale of the business, which would remain bound by this policy.
4. Text messages
Text messages are sent only where the subscriber has turned them on and has the recipient's consent. Mobile numbers and text-message consent are used only to send the messages described in our Text Message Terms. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties, except the vendors that deliver the messages.
5. How long we keep it
- While your account is open, for as long as you keep it in the service.
- After you close your account, 30 days for export, then deleted — except payment, tax and signature records we must keep by law, and backups, which expire on their normal cycle.
- To enforce one free trial per company we keep a minimal record (company email domain, a scrambled phone number, sign-up IP address and dates) after deletion.
- Service logs are kept for a limited period for security, then deleted.
6. Security
Data is encrypted in transit and at rest, access is limited by role, and payment card data is handled only by Stripe. See Security. No system is perfectly secure; if a breach affects your personal information we will tell you as the law requires.
7. Your choices and rights
You can see, correct and export your data in the app, and ask us to delete your account. Depending on where you live (for example California, Virginia, Colorado, Connecticut, Texas or Florida), you may have rights to know, access, correct, delete or port your personal information, and to opt out of its sale or use for targeted advertising (we do neither). We will not treat you differently for using these rights.
To make a request, email support@storypolepro.com. We will verify the request and answer within the time the law allows (usually 45 days). If your information was entered by a contractor who uses Storypole PRO, we will pass the request to them and help them answer it. You may use an authorised agent, and you may appeal a decision by replying to our answer.
8. Children
The service is for businesses and is not directed to anyone under 18. We do not knowingly collect information from children.
9. Where data is held
We are in the United States and the service is offered to U.S. businesses. Our vendors may process data in the United States and other countries, with safeguards required by law.
10. Changes
We will post changes here and update the date above. For a material change we will give at least 30 days' notice by email or in the app.
